Ledger Medic

Clarity for your supplier accounts.

PURCHASE ORDERS · VENDOR QUOTES & ESTIMATES · INVOICES

Find the gaps. Keep the evidence.

Compare what the vendor quoted or estimated, what your purchase order references, and what you were invoiced—with payments, credits, and original documents alongside the review.

Does the invoice match the purchase order and the vendor’s quote or estimate? Bring those records together, compare the applicable pricing, and trace possible discrepancies back to the source.

For businesses of every size—from independent operators to large enterprises. Ledger Medic is intended for owners, finance teams, procurement teams, and accounts-payable reviewers who need to compare vendor records and investigate discrepancies.

Match the invoice to the purchase order, quote, or estimate

Review what was ordered, what the vendor priced, and what was actually billed. Keep the purchase order, vendor quote or estimate, invoice, payments, and credits together as the evidence for your review.

  1. Connect the right records. Use vendor, purchase-order number, project/job details, and item references to review which documents belong together.
  2. Confirm the pricing basis. Review the vendor’s quote or estimate, applicable dates, and stated conditions. Confirm extracted pricing against the original before using it for comparison; an estimate is not automatically a fixed-price commitment.
  3. Compare the invoice lines. Check item identity, quantities, units, unit prices, and calculated line amounts against the confirmed pricing reference. Unit conversions require supporting evidence.
  4. Follow the difference. Review flagged discrepancies with their source references, then check related payments and credits. Missing or conflicting records remain questions for review.

Scans and handwritten changes may need text extraction and manual confirmation. A possible match or price difference is not a confirmed overcharge.

Bring handwritten notes into the review

A handwritten price, credit note, or change beside an invoice can be important evidence. Ledger Medic can extract text from scans and handwriting so you can compare it with the original and investigate what it means for the account.

This is called optical character recognition (OCR)—turning words in a picture or scanned page into text that software can read.

  1. Read the marked page. Select pages for text extraction and check the result against the original. Unclear handwriting and crossed-out figures need confirmation.
  2. Record the meaning. Save your explanation of the note with its source document: for example, whether a figure is a proposed price, an agreed change, or a credit that still needs verification.
  3. Keep the explanation with the report. Saved evidence notes appear in the report and source appendix—the supporting notes and document list that travel with your findings.
  4. Use confirmed figures in the comparison. Values must be entered or confirmed as supported pricing or accounting records before they affect the calculations. A free-text note does not automatically change an amount.

Each plan includes a set number of pages for reading scans and handwriting. Clear digital text can often be read without using that allowance.

From records to a clearer picture

  1. Choose your scope. Identify the supplier, purchase order, project, and records you want to review.
  2. Organize and extract. Bring purchase orders, vendor quotes or estimates, invoices, payments, and credits in supported formats. Select scanned or handwritten pages for text extraction and confirm the details.
  3. Review the evidence. Compare invoice lines with confirmed vendor pricing, inspect possible discrepancies against the sources, and download your results.
Usage, supported files & limits

Each unique PDF or image page uses one document-page credit. Mapped accounting records and text notes use one document-page credit per 50 accounting rows or nonempty lines, rounded up. Reading a scanned or handwritten page uses one scan/handwriting credit (shown as an OCR credit in the workspace) and one processing credit, in addition to the document-page credit. Report preparation uses one processing credit per selected document-page equivalent. Retrieving the same completed work does not charge again.

Supported inputs: PDF, PNG/JPEG/TIFF, mapped CSV/XLSX, and UTF-8 TXT. Files are limited to 4 MiB; PDF/TIFF documents to 50 pages. Accounting files support up to 2,500 data rows and one worksheet per XLSX file. Batches support up to 10 files and 20 MiB; reports up to 50 documents, 250 document-page equivalents, and 64 MiB of source files. Additional format limits apply.

Your records. Your review.

Findings depend on the documents supplied. Missing records, unclear handwriting, poor scans, and ambiguous matches require human review. Text extraction helps read the document; you still confirm the accuracy and meaning. Ledger Medic does not guarantee savings, recovery, a complete account balance, or a legal outcome. This is not legal, tax, or accounting advice.

Download and retain your own archive. Processing expiry does not itself delete saved files; continued hosting is not a promise of permanent storage. Final service, privacy, and refund terms will be presented before purchase.
